Ball

The ball is our biggest event of the year, so start planning this literally as soon as possible. Don't fall into the trap of “it's so long away we'll decide later” - no. Decide now.

Key things to sort early:

	* Venue (same as a previous year or somewhere new? See google drive for a list of previously visited venues)

birmingHack

birmingHack is the annual hackathon that CSS runs, started in 2025. It is typically run toward early / mid March, though when planning you will need to check with SoCS staff to see when the open days / Offer Holder Visit Days (OHVD) are, as you won't be able to run the event on a weekend if it clashes with one of these days.

This event is usually a collab with oSTEM which is usually around week 6 of semester 2.

Travel

We usually book a coach through Johnsons and if you are going to go that route make sure to get a wheelchair seat even if it isnt used. It may be worth looking at getting the train down to Bletchley instead although that would need to be looked into with how feasible it is and how much it would per person.

Christmas Meal

This is the biggest event that we run in the first semester, usually in the last one or two weeks of the semester just before the Christmas break. The last two years we have done this at the Green Man in Harbourne and not really had any issues. They have been able to get them to give us vegan options although iirc there were no halal options. We have previously done it at the Country Girl but they gave us some issues with organisation. As with any other event, feel free to look a…

Organising these events are very similar and also quite easy.

Guild Admin

On the guild side all you need to do is add a pre-prepared RA and submit a catering form for pizza if you are giving out pizza.

Alcohol

In terms of alcohol, you will need to talk to Todd to get him to sort it out. We have been able to purchase alcohol ourselves now and get it expensed through the school grant but you can also get the school to buy drinks for you (although this is likely to be mor…

Intro

Hello, how the hell did you get into Marcus' LaserDisc Emporium, I really need to change those locks. I'm Marcus Gustafsson, the very unofficial CSS Quizmaster from 2023-2026, and it is my job to tell future generations my advice on how to run the Halloween Quiz, so please take something nice from the

General Advice

Generally, the sooner things can be planned, the better. It's far easier to modify an approved event than it is to create a new event from scratch, so it's always worth submitting things like risk assessments, budget notifications and catering forms to the guild as soon as physically possible even if some details aren't finalised yet rather than waiting until details are confirmed but it's now too late to submit things.
