Ball
The ball is our biggest event of the year, so start planning this literally as soon as possible. Don't fall into the trap of “it's so long away we'll decide later” - no. Decide now.
Key things to sort early:
- Venue (same as a previous year or somewhere new? See google drive for a list of previously visited venues)
- Meal choices / options, i.e. 2 or 3 course or both, how many options per course etc…
- Ticket cost
- Date (before Easter or after?)
- DJ or live music / band?
Minor things to remember to sort out:
- Physical tickets and how you're putting names on them (hand written or printed)
- Place cards
- Seating Plan
- Stickers
- Timings (when does the event start, when will committee arrive? Recommend setup time of approx 2 hours)
Some key features of the ball include:
Photobooth
Sally is our main contact for the photobooth, she did 23, 24, 25 and 26 and has been very helpful and is very fairly priced. All photos taken are saved to a USB that committee should retrieve from her at the end of the night otherwise she has to ship it to us. Typically we then put out an announcement after the fact asking people to send us a picture of the physical photo, that way we can then send them the digital version. We do this rather than simply making them all public in the interest of privacy, as photobooth photos tend to be a bit more private than the photographer's photos.
Photographer
Generally we only have the 1, but in 2025 we did trial having 2 photographers. 2026 it was decided having 2 was not worth the additional cost. Our current go-to for this is Connor, contact details in the inbox.
Once photos have been provided, they should be added to an album in the Google Photos of the CSS account, which can then be linked to from the website.
