This has always been a big event with a lot of membership signups (iirc we had around 100 in a day in 2024). One of the main reasons for that is through giving out shirts for members and having a range of soceities there. We have usually booked TLB for this, which you will have to ask Todd and/or Tom Holly to do so. In terms of ordering pizza make sure you order a fair chunk in advance (i'd say 100 people worth but thats up to you to decide) and then order more early into the event if you need to.

In terms of other soceities to invite, make sure you have the big ones (AFNOM, AlgoSoc) as well as other computer related socs (VR, GDS [if they exist], VGS, CyberWomen, oSTEM, etc.), the more the merrier.

I'd recommend having a rough schedule of how the night is gonna go and who is gonna speak when, with socs usually having around 10 minutes to give a little presentation about who they are and what they do, as well as leaving a break inbetween for pizza.

For choosing a date, we have always done it on the monday evening of week 1 (first day of proper lectures) but you can also choose a different date depending on the schedule of first years, I would highly recommend not doing it in week 0 or 2 though as week 0 would be too early and week 2 would be too late. You could also potentially look into running it during the day but you would have to find a time where TLB isn't booked and there aren't any cs lectures so good luck with that if you are going to try.
